Location:
Regency Retirement Resorts have 8 locations in the Okanagan, including Vernon, Penticton, West Kelowna, and Kelowna. This position is on site at the Kelowna location.
Job Description:
As a vital member of the team, the Office Administrator plays a key role in interacting with prospective and current residents, as well as the public. This position focuses on building relationships, fostering a welcoming environment, and ensuring the smooth operation of the Resort’s front desk and administrative activities.
The Office Administrator provides essential support to the General Manager and department heads, serving as the central hub of information for the Resort. This role requires excellent organizational, communication, and multitasking skills, as well as a strong commitment to professionalism and confidentiality.
Serve as the first point of contact for residents, guests, and callers, ensuring inquiries are addressed promptly and professionally.
Oversee front desk operations, including maintaining security protocols, managing visitor logs, and monitoring resident emergency systems.
Assist with resident requests, such as meal sign-ups, suite tours, and guest accommodations.
Support marketing efforts by hosting tours in the absence of the General Manager or Marketing Representative.
Provide clerical assistance to the General Manager and department heads, including correspondence, filing, and maintaining up-to-date records.
Manage the Resort's communication log to keep team members informed of incidents, updates, and daily activities.
Coordinate staff schedules and assist with onboarding new employees.
Handle data entry for accounts receivable, process payments, and maintain financial records.
Manage office supplies, mail distribution, and front desk float reconciliation.
Participate in management meetings and assist with minute-taking and follow-ups.

Between $45,000-$52,000.
